Microlab Instruments Pvt Ltd ("we", "us", "our") operates the MIPL VCard mobile application. This Privacy Policy explains how we collect, use, and protect your information.

1. Information We Collect

When you use MIPL VCard, we may collect:

• Account information: Your Google account name and email address, used for authentication.
• Lead data: Business card information you capture or enter, including names, phone numbers, email addresses, company details, and notes.
• Photos and media: Images of business cards you capture using the app's camera feature.
• Audio recordings: Voice notes you record within the app, stored alongside lead data.
• Export data: When you export leads, we access your Google Sheets and Google Drive (limited to files created by this app) to create and update spreadsheets.

2. How We Use Your Information

• To provide and maintain the app's lead capture and management functionality.
• To sync your lead data across devices using Firebase Cloud Firestore.
• To store business card images and audio notes using Firebase Cloud Storage.
• To export your lead data to Google Sheets when you request it.
• To authenticate your identity via Google Sign-In.

3. Google API Scopes

MIPL VCard requests the following Google API permissions:

• Google Sheets API (spreadsheets): To create and update spreadsheets containing your exported lead data.
• Google Drive API (drive.file): To create and manage spreadsheet files in your Google Drive. This scope is limited to files created by MIPL VCard only — we cannot access any other files in your Drive.

MIPL VCard's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

4. AI-Powered Features and Third-Party AI Services

MIPL VCard uses Google's Gemini AI (via Firebase Vertex AI) to power several features. When you use these features, specific data is sent to Google's servers for processing. The app will ask for your consent before using each AI feature for the first time.

4.1 Business Card Extraction

When you extract contact details from a business card, the app sends:

• Business card images (front and back)
• Text extracted from card images via on-device OCR

4.2 Document Summarization

When you generate an AI summary of an uploaded brochure or document, the app sends:

• The document or PDF file content
• Associated product names

4.3 Voice Note Transcription

When AI-powered email composition is used, the app may transcribe voice notes by sending:

• Voice note audio recordings

4.4 AI Email Composition

When you compose personalized follow-up emails using AI, the app sends:

• Lead name and company
• Products of interest
• Meeting notes and voice transcription
• Exhibition and organization name

4.5 AI Note Rewriting

When you rewrite meeting notes using AI, the app sends:

• Your meeting notes text
• Custom rewriting instructions (if provided)

All AI processing is performed by Google's Gemini service and is subject to Google's Privacy Policy. Data sent to Google Gemini is used solely for processing your request and is not used by Google for model training. The app requests your explicit consent before sending any data to the AI service for each feature.

5. Data Storage and Security

• Lead data is stored locally on your device using encrypted local storage and synced to Google Firebase (Firestore and Cloud Storage) under your authenticated account.
• All data transmission uses industry-standard TLS encryption.
• Access to your Firebase data is restricted to your authenticated user account.
• We do not sell, rent, or share your personal data with third parties.

6. Data Retention

Your data is retained as long as you use the app. You may delete individual leads at any time from within the app. If you wish to delete all your data, contact us at the email below and we will remove your data from our systems within 30 days.

7. Your Rights

You have the right to:

• Access the personal data we hold about you.
• Request correction or deletion of your data.
• Revoke Google permissions at any time via your Google Account settings.
• Export your data using the in-app export feature.

8. Children's Privacy

MIPL VCard is not intended for use by children under 13. We do not knowingly collect personal information from children.

9. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated effective date.
